Before delegates arrive

Set up, test and rehearse.

The technical window covers installation, cable and signal checks, presentation review, microphone checks and any agreed rehearsal. Final files and presenter devices should be available early enough to resolve connection, font, video and sound issues.

Speaker positions, walk-on routes and changes between sessions can then be checked against the stage, screens and microphones.

During the event

Support the programme as it changes.

Technical support can manage microphone levels, presentation playback, video or music cues and transitions between speakers. The operator also provides one point of communication when the organiser needs to adjust timing or respond to a changed presentation.

How many microphones does a conference need?

Count every person who may speak at the same time, then consider handovers and audience questions. A lectern plus a four-person panel needs a different plan from one shared handheld microphone.

Can you manage presentation playback?

Presentation playback and file checks can be included. Confirm who owns the master deck, when files will be supplied and whether videos contain sound.

Do we need a technical rehearsal?

A rehearsal is strongly useful for multi-speaker, panel, video or awards programmes. Even a short check can resolve presentation formats, microphone technique and walk-on cues.

Can a technician stay throughout the conference?

On-site technical support can be included for the agreed programme and operating hours. This is particularly useful where microphones, presentations and cues change throughout the day.
